Too often than not clients are keen to get going, below is the standard business practice we follow. However, from time to time we can re shape this to work with specific prioaties and urgencies.

Our meetings are pre-scheduled, organised, and efficient in delivering outcomes and results.

3 critical meetings go with our service to you and are non-negotiable

The Quarterly Business Review lets us discuss how the meetings and comms are progressing.

A Statement of Works confirms an agreed method of working every quarter.

At the commencement of each quarter, you will be sent a Statement of Works. This ensures we are on the same page and working towards a common goal.

This document is then signed by both VC and the Client.

Retainers

Retainers are structured at the minimum hours at $130 per hour and are billed monthly.

This amount is then used to assign tasks to people within the Volumise ecosystem of people.

We want to achieve what's mutually best for both parties, now and into the future. The terms in this proposal from Volumise Consultancy PTY LTD confirm your involvement. Project Governance

Communication & Respect - FIRST

Below is a rundown of the Volumise Consultancy team's internal procedure for delivering your project.

Working Group
​The project lead will manage the day-to-day client contact and liaison.

Escalation Procedure
​Any issues will be handled primarily by the project lead. Any requirement for escalating issues should, in the first instance, be raised to the Head of Client Success, Sarah Pagoda,

Keeping on Track: Should our conversations take us off track, getting stuck in the weeds or going on a tangent, we will work to bring the conversation back on track so that time is well-spent and important conversations are had.

Stakeholder Management Expectations: A single client contact is expected to manage their internal stakeholders without requiring Volumise Consultancy participation.

Project Delays: Your goals will be assigned a specific milestone date as outlined in the statement of work (SOW). While we acknowledge that unforeseen issues may arise, Volumise Consultancy will strive to accommodate minor delays whenever feasible. However, if a delay extends past the project milestone date, a new milestone must be agreed to within 5 days. Suppose the delay extends by more than two weeks. In that case, clients may incur additional management costs (minimum $1,000 per month) for each month of extension, reflecting the extra resources necessary to complete the project.

Status Reporting: This will be provided via the scheduled 15-minute phone catchup.

Standard Review Cycle Expectations: Unless otherwise specified, we will provide for one round of review and amendments before sign-off. Any changes or requests received after this review period will require additional scope and budget.

Active Participation: Change can be even more complex when people aren’t working to make it easier. Take time to understand and ask questions. The best, fastest, and most productive actions are where everyone is engaged and participating.

Client Feedback Expectations: The Client will provide timely feedback (a maximum of 7 days) when a task has been completed. Delayed or late feedback may impact other elements or aspects of the project in ways we cannot control, and considerations for additional time will be made and agreed upon.

Change Control
​Any change requests or requests for additional deliverables outside this scope of work will be scoped, and the price will be estimated for client approval before commencement. Should any of our conversations touch on additional solutions above and beyond what has been included in this SoW, we will flag it as a potential opportunity to consider once this project has been completed.

Post-Project Support & QA
​We will provide a two-week support period upon specific project completion to address any unexpected QA issues.

Project Feedback: We will periodically send you feedback emails. Please take the time to respond; your input is invaluable for our continuous improvement.
